
Project Administrators (and users if permitted) can add files and folders to the main project folder. Following each folder name, the number of files it contains and number of newly uploaded files display.
To access the file level of a project folder:
Click ![]()
Click the project name containing the files you want to view to enter the main project screen.
If desired, you can subscribe to individual project folder through the Subscription Manager. Access this through the Notification icon following each folder. If you do not see the icon for each folder, choose the top level folder and click the Expand Current link at the top of the folder pane to view the subfolders.
To work with individual files, select a folder containing the files you want to view (you may need to expand parent folders to find a folder with files). Note: The number next to the folder represents the number of files it contains, except for the Incoming Email/Fax folder. In this case, the number represents attachments, not incoming items.
The folder list is replaced by file information panels for each file contained in the selected folder. Contained in each file information panel is the file thumbnail image, the file name, author, date, and any relevant file icons. You can return to the parent folder level at any time by clicking the View Folders button. You can expand and collapse each file information panel individually by clicking the +|- sign above each thumbnail image, or you can expand or collapse all file information panels by using the +|- icons below the View Folders button. You can sort the order of files by criteria offered in the Sort By drop down list. This sort order is only a temporary view and the order will revert back to the default file order set by the project manager.
Right-clicking on the thumbnail image will copy a link to the file to the user’s clipboard. The link can be pasted into an email message or team mail for quick access to the file. If the user is not currently logged on to ProjectDox when they click on the link then they will first be taken to the ProjectDox logon page.
The following buttons and icons are present beside the thumbnail image of each file contained in a project folder depending on whether or not that permission has been granted to the user:
Upload Files: Files can be uploaded to the ProjectDox server by clicking at the top of the project file panels.
When using the check-out feature , use the download.The edited file is then uploaded and checked back in as a new file version.
Delete File(s):
Files can be deleted from the source-level folders at any level (if you have Delete privileges) by checking the boxes next to the files you wish to delete, and then clicking the
icon. Click Yes in the confirmation dialog box. You can delete a group of files by selecting the checkbox for each file you want to delete and click the delete checked files icon located at the top of the files panel.
(Note that files that contain markups cannot be deleted, regardless of the delete permission, unless this option has been overridden by an Administrator in Web.config.)
Download File (s): The original file can be downloaded to the team member's local drive by clicking the
icon next to the desired file.
Remember that you will need the source application or a viewing utility such as Brava! Desktop installed locally to view the file. To download a group of files, select the checkbox for each file you wish to download and click the download checked files icon located at the top of the files panel. A single zip file is prepared for you to download the files to your local machine. On the right panel, you can view the zip file size and are offered the opportunity to delete the zip package out of the temp folder on the server. Files that are checked out will NOT be included in the group download zip file.

When downloading a single CAD file that contains Xrefs and nested Xrefs, the base CAD file and all supporting files are downloaded to your selected folder as a single zip package. Also, when selecting multiple files for download, the download itself will transfer as a single .zip which you will need to uncompress.
Markups Exist: An
icon present indicates that at least one markup files exists for the file. Clicking the icon displays a details screen of the associated markups and prompts you to view, edit, or clear the selected markup files in the list. Select the markups you wish to view or edit and click View/Edit to launch the file with the selected markups in the Brava! ActiveX Viewer.
You can view multiple markups at one time, but you can only choose to Edit one markup. In ProjectDox, an existing markup cannot be altered, however, you may add to an original markup.

. Note that when creating markup text, ProjectDox now has an unlimited character limit.
Event History: To view and or print a history of events associated with each file (uploads, views, downloads, etc.) , including user and date information, click the view history icon.
Compare Files
: Use this icon to select and compare exactly two file versions contained in the thumbnail panel. When clicked, the two selected files display in the Brava! viewer, in Compare mode. The files will always display from oldest to newest version, with the oldest in the far left position. Two versions of the files can be compared by overlay, side by side, added or deleted information only, and more. In overlay view, the older file displays in red and the newer file displays in green for easy identification (unchanged areas display in grey). help button) for assistance in using the compare file and the compare alignment tools.
Select All/Deselect All
To either check or clear all of the check boxes in a single click, use the Toggle all check boxes on or off checkbox located at the top of the files panel.
